About this meeting planner across time zones

This meeting planner finds the best time for a call between people in different time zones. Add each person's city, their working hours and their days off, and it ranks the start times that put the most people inside their working day and the fewest people up at night.

Each slot is checked on the real date, with each zone's own daylight saving rules, so a weekly call in late March or early November shows the right local times. Pick a time, then copy it as text, send a share link, or download an .ics file that drops straight into a calendar.

Just want to know what time it is somewhere else? The time zone converter shows one moment across many cities.

Features

  • Ranked suggestions, not just a grid

The planner checks every half-hour start across 1 to 7 days and lists the six best. Each one says how many people are in working hours, how many are early or late, and whether anyone would be asleep or on a day off.

  • Working hours per person

One colleague works 08:00 to 16:00 and another 10:00 to 18:30? Set each row separately in half-hour steps. Night shifts such as 22:00 to 06:00 work too.

  • Weekends that differ by country

Days off are set per person. Zones such as Dhaka, Riyadh and Cairo start with a Friday and Saturday weekend, and everyone else with Saturday and Sunday. You can change any row.

  • Meeting length is respected

A 90-minute meeting must fit inside working hours from start to finish, not just start inside them. Change the length and the suggestions update.

  • Colour-coded day view

A grid shows every person's local time for each half hour of the chosen day: green for working hours, yellow for awake but outside hours, grey for night and red for a day off. Click a cell to pick that time.

  • Calendar invite and share link

Download a standard .ics file (RFC 5545) with the time stored in UTC, copy a plain-text list of everyone's local times, or copy a link that reopens the same people and date. The link data sits after the # sign, which browsers do not send to servers.

How to use the meeting planner across time zones

  1. 1Add each person's city or time zone, with their working hours and days off.
  2. 2Choose a date, how many days to search and the meeting length.
  3. 3Pick one of the ranked times, then copy it, share the link or download an .ics file.

When to use it

  • A weekly call between Asia, Europe and the US

Dhaka, London and New York have almost no shared office hours. The planner shows the least painful option, which is usually early morning in New York, late afternoon in London and late evening in Dhaka.

  • Interviews with remote candidates

Add yourself and the candidate's city, pick a slot inside both working days and send the .ics file. Keep your questions and notes in the online notepad during the call.

  • Client calls across a weekend gap

When one side's weekend is Friday and Saturday and the other's is Saturday and Sunday, only Monday to Thursday are shared working days. The planner marks Friday and Sunday slots so you don't book them by mistake.

  • Keeping a meeting on time

Once the slot is booked, run the call against a countdown timer so it actually ends when the agenda says.

How do you find the best meeting time across time zones?

List everyone's working hours in their own local time, convert those windows to one shared clock, and look for the overlap. When there is no full overlap, choose the slot that pushes the fewest people outside their day and keeps everyone out of the night.

The planner scores each half-hour start that way. Being in working hours scores best, early morning or evening (07:00 to 22:00 local) scores lower, and night or a day off counts against the slot. Slots that keep anyone up at night are only suggested when nothing better exists.

Why do meeting times shift in March and November?

Daylight saving starts and ends on different dates around the world. The US moves clocks forward on the second Sunday of March and back on the first Sunday of November. The EU and UK change on the last Sunday of March and the last Sunday of October. For a few weeks each spring and autumn, the gap between New York and London is 4 hours instead of the usual 5.

Many countries, including Bangladesh, India, China and Japan, don't change clocks at all, so their gap to Europe and the US moves twice a year. The planner uses your browser's time zone data (the IANA database) for each date you search, so these shifts are already included.

What is an .ics file?

An .ics file is a calendar event in the iCalendar format defined by RFC 5545. Google Calendar, Outlook, Apple Calendar and most other calendar apps can import it. The file from this planner stores the start and end in UTC, so each person's calendar shows the event in their own zone automatically.

It contains the title you typed and a description listing each person's local time. It has no attendee list and sends no emails. Attach it to a message or import it yourself.

Tips

  • Put yourself first. The first person is the base zone, and the date you pick and the times in the suggestions are in that zone.
  • Rotate the inconvenience. If one person is always the one taking calls at 21:00, alternate the slot every other week.
  • Search 5 or 7 days when weekends differ between countries. The best day is often Monday to Thursday.
  • Check the planner again for meetings booked near the end of March or the start of November.
  • Need a deadline in working days rather than a call time? The business days calculator skips weekends and public holidays.

Questions

What is the best time for a meeting between the US and Europe?

Usually the US morning, between about 08:00 and 11:00 Eastern Time, which is early to late afternoon in London and Western Europe. Add the cities to the planner to see the exact overlap on your date.

What is the best time for a meeting between India or Bangladesh and the US?

There is no shared office hour, so someone stretches. A common choice is early morning in New York, around 07:30 to 09:00, which is evening in India and Bangladesh. The planner shows how each option ranks.

Does the meeting planner handle daylight saving time?

Yes. Every slot is converted with the rules for that exact date, so the local times are correct on both sides of a clock change.

How many people can I add?

Up to 10. Each person can have their own name, time zone, working hours and days off.

How do I send the meeting time to others?

Copy the times as plain text for chat or email, download the .ics file for calendars, or copy the share link. The link reopens the planner with the same people, hours and date.

What do the colours in the day view mean?

Green means the whole meeting fits in that person's working hours. Yellow means they are awake (07:00 to 22:00) but outside working hours. Grey is night and red is one of their days off.

Is my information sent anywhere?

No. Names, zones and times stay in your browser. Even the share link keeps its data after the # sign, which browsers never send to a server.
